Updating an RFP's Outcome: Placing a Client or Closing an RFP

How to mark an RFP as placed with a provider, or close it out with the appropriate outcome when a placement isn't made.

Once an RFP has run its course, you'll update its status to either Placed (a provider was selected) or Closed (the RFP ended without a placement). Both are done from the same Update Status form on the RFP detail page.

Marking an RFP as Placed

Use Placed when your client has selected a provider and services are moving forward.

  1. Go to your RFP dashboard and open the RFP.

  2. On the Update Status form select Placed.

  3. Choose the provider from the dropdown and complete any optional feedback fields.

  4. Click Update Status to confirm.

Provider not in the dropdown?

The dropdown defaults to showing only providers who submitted a proposal through Wayfinder for that RFP. If the provider was chosen outside of Wayfinder β€” through a phone call, existing relationship, or any other method β€” uncheck "The provider was chosen within the RFP process." This expands the dropdown to show all providers in the Wayfinder directory.

Closing an RFP Without a Placement

Use Closed when the RFP ended without a provider being selected. You'll be asked to pick an outcome so your analytics stay accurate.

  1. Go to your RFP dashboard and open the RFP.

  2. Click Update Status and select Closed.

  3. Choose the outcome that best fits your situation (see table below).

  4. Click Close RFP to confirm.

Lack of response from family

Client or family stopped engaging

Staying with current provider

Client decided not to change providers

No suitable provider was found

Proposals were received but none were a match

Reevaluating plan

Client's needs or plan changed

A placement was made but not through a Wayfinder proposal

RFP received no responses

No providers submitted a proposal

Withdrawing an RFP created in error

If you submitted an RFP by mistake, follow the steps above and select RFP withdrawn as the outcome. You can do this yourself without contacting support.
