What Providers Can See

When a case manager sends an RFP, providers receive clinical and preference information to help them assess fit and write a relevant proposal. This includes:

  • Interests and goals

  • Good day / bad day information

  • Relevant health conditions and behaviors

  • Adaptive equipment and care preferences

  • Support level (unless hidden by the case manager)

  • General location information such as cross streets or city (not a full address)

  • Service details: service type, Medicaid waiver, and county

What Providers Cannot See

Providers never see any identifying information about clients. The following are never included in RFPs:

  • Client name

  • Medicaid ID

  • Exact home address

  • Date of birth

Fields Case Managers Can Choose to Hide

Case managers have additional control over what's shared. On a per-RFP basis, they can choose to hide:

  • Support level

  • Health information

  • Behaviors and supervision requirements

  • Location details

Data Scoping

Client records are only accessible within the CMA that created them. Other case management agencies cannot see your clients' information, and providers only see information relevant to RFPs they are eligible to respond to.
